THE FIELD GUIDE / COMMERCIAL PLUMBING

A Simple Leak Log For Facility Managers

Track water clues across a property so repairs target recurring losses and disruption.

In a busy building, a small drip may be reported to different people on different days. A shared log turns those scattered observations into a usable history. It can also reveal where water is being lost before damage becomes obvious.

FIELD NOTE

Record Observations Consistently

For each report, write the date, location, fixture or equipment, who noticed it, and what they saw. Separate a visible drip from a sound, stain, odor, or meter change. Add a photo only when it can be taken safely. Avoid assigning a cause before inspection; water may travel from another room or line. The goal is to give maintenance staff and the plumber a reliable starting point.

FIELD NOTE

Compare Activity And Usage

EPA WaterSense recommends monitoring water use and checking meters at low-activity times as a way to spot possible leaks in commercial facilities. Record when the building was occupied, whether cleaning or irrigation was running, and any known equipment cycles. A moving meter by itself does not identify the leak, but its timing can guide further investigation. Compare readings across similar days instead of treating every change as a failure.

FIELD NOTE

Close The Loop After A Repair

Add the work order, observed cause, repair date, and the person who confirmed operation. Ask whether an adjacent fixture or line should be watched. If a repair was temporary or access limited the inspection, note the follow-up need explicitly. An open item should have an owner and a planned review date so a quiet leak does not disappear from attention while water continues to run.

FIELD NOTE

Use The History For Planning

Group repeated reports by room, fixture type, or line. Frequent issues in one area may justify a focused assessment, while isolated unrelated issues may need separate repairs. Share concise records with the plumbing team before a visit. WaterSense also recommends occupant reporting and prompt leak repair; a simple way for staff and tenants to report a problem makes the log more complete.
